DEFINITION: The Account Receivable Staff Accountant s Primary responsibility is ensuring the agency s daily billing functions operate efficiently and in a timely manner.

ACCOUNTABLE TO: This position reports directly to the Assistant Director of Accounting.

EXAMPLES OF WORK DUTIES: (Any one position may not include all the following, nor do all the listed examples include all duties and responsibilities which may be required in each position.)

1. Enter billing into Central Missouri Regional Center s (CMRO s) software on a monthly basis. This billing may include having to work weekends, evenings, and/or hAolidays based on CMRO s deadlines.

2. Prepare billings for EnCircle Technologies. This includes using 3rd party billing software.

3. Prepare billing for all private pay services.

4. Monitor outstanding receivables and notify supervisor of collection issues; establish and maintain an effective working relationship with outside allied providers and funders.

5. Review sections of the monthly financial statements as assigned.

6. Assist in recording all billings into the general ledger.

7. Prepare standard & miscellaneous journal entries.

8. Prepare/distribute analyses to appropriate personnel on a regular basis

a. Cost of care analysis

9. Reconcile bank accounts monthly.

10. Reconcile Prepaid Visa card workpapers monthly.

11. Reviewing the Individuals Served bank account on a monthly basis to determine if funds need to be returned to the State, notifying appropriate personnel of the funds that will be returned & preparing check request to send the funds back.

12. Reconcile Account bank statements monthly.

13. Prepare ISL and R/B budgets.

14. Prepare ISL billing variance, includes data entry, submission to appropriate authority, and track payments/recoupments.

15. Reconcile Petty Cash/Community Connections monthly.

16. Assist agency staff at the accounting counter to give out checks, petty cash, day program cash along with collecting receipts and general assistance as needed.

17. Must maintain a positive relationship with individuals supported, colleagues, senior management, and outside stakeholders such as families, guardians, and governmental representatives.

18. Maintain confidentiality.

19. Perform other duties as assigned by your supervisor or CFO.

Requirements:

QUALIFICATIONS: A relevant Associate s degree is required with two to five years accounting experience. An Accounting degree is preferred. A minimum of two years of relevant employment at Woodhaven whereby the successful candidate has accumulated the necessary skills, knowledge, and abilities for this position will be accepted in lieu of the required experience. Knowledge of Excel is required. Knowledge of NetSuite ERP experience is also preferred. Individual must be an independent worker who is a self-starter with good communication skills and is patient with other people. An ability to meet deadlines and to assist in the completion of tasks is vital. Individual is expected to be reliable when reporting to work for scheduled shifts. All individuals who have committed felonies that are listed on the disqualification registry with the Department of Mental Health will be removed from payroll effective immediately unless a request for exception has been approved with the Department of Mental Health.

A valid Missouri license MUST be obtained within the first two (2) weeks of employment for this position. Must maintain an acceptable driving status according to Procedure No. 1-8-3, Woodhaven Vehicle Use. Any exception to this requirement must be authorized by the Chief Financial Officer or the Accounting Manager.

ESSENTIAL PHYSICAL REQUIREMENTS: This is sedentary work requiring the exertion of up to 50 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
